You can use TranSearch® to catalogue and maintain your digital media, such as photos, audio, presentations and video files. Utilising the latest Microsoft File Streaming Technology, our ADA (Associated Document Archive) enables storage of electronic versions of physical files and other digital content, with versioning, unlimited digital storage, scan-back, full-audit trails and more.

  • With no application space limitation, unlimited quantities of electronic documents/images/videos etc can be associated with a metadata record.

  • Import and export functionality, versioning, preview and thumbnail views for the optimisation of processing speed.

  • Each and every electronic document is placed into a versioning system when it is transferred to ADA.

  • Utilising the ADA Add-in, users are able to quickly and simply upload files/document/emails etc into ADA and associate them with a particular physical file.

  • Every transaction ADA performs is logged with a time, date and a username allowing administrators to view a full history of every document on the system.

  • Utilising our powerful access control system, set permissions by user, user group, document type or individual document so only the right people see the right files / documents. Manage Access Control through Active Directory/TranSearch® Security groups or Access Control Lists. Access to records can be driven by use of ‘Security Marking’ functionality to limit the number of users with access to specific records.

  • Flexible retention and destruction policies can be applied, with different polices for each data type. Apply retention policies to documents and physical items at the time of creation. Alerts are generated for items due for review. There is automated workflow around the review and destruction authorisation process., with full audit trails recorded. Destruction Authorisation Emails enable the information owner to allow/decline the destruction of the file based upon the outcome of the Review. There is the ability to manage multiple Legal Holds.

  • ADA - the Associated Document Archive module - has been designed for companies wishing to consolidate their physical and electronic items into a single, intuitive system, thereby allowing users easy access to both the physical and electronic information. An electronic workspace is associated with a physical asset, be it a client, project or a single file; this area is used to store electronic records relating to the item.

  • ScanBack enables users to request a Scan of a particular document rather than requesting the delivery of the complete file. Fully interfaced into the TranSearch® order Manager, ScanBack Jobs may be processed in a similar fashion to normal delivery Jobs. Once the item is picked, a Cover Sheet is produced and the required document scanned into ADA. Upon receipt of the scanned document ADA will complete the Job and create an email notification to the user with a hyperlink to the scanned image. With its own inbuilt scanning software, TranSearch® is capable of working with most industry standard scanners.
